Using Custom MRR Summaries
Available In Core Suite 1.36+
By default, the GSP Subscription Manager tracks MRR at both the Subscription and company-wide levels. However, many organisations need to report on MRR using categories that reflect their own business structure, such as region, product line, or customer segment. Custom MRR Summaries enable this by allowing MRR to be aggregated based on any field on the Subscription object, providing flexible and tailored reporting to support deeper business insights.
Prerequisites:
Please ensure the “GSP Subscription App (Full Access)” Permission Set is assigned to the user responsible for setting up Custom MRR Summaries.
Steps to Complete
- Access Setup Area
- Navigate to the Setup area in Salesforce by selecting the cog icon in the top menu, then click “Setup”.
- Select Custom Metadata Types.
- From the left-hand menu, select “Custom Metadata Types”.
- Click the “Manage Records” link on the “Subscription Settings” option.
- Locate the “Default” record and click “Edit”.
- Enable Custom MRR Summaries
- In the “Custom MRR Summary” section, check the “Use Custom MRR Summaries” checkbox.
- By default, the “Custom MRR Summary field” is be set to “Product Name”. Use the dropdown to select any field from the Subscription object as needed.
- Click “Save” to apply the change.
Outcomes
Once Custom MRR Summaries are enabled, the app will begin creating Custom MRR Summary records that aggregate MRR Schedules based on the field selected in the Custom Metadata Type.
The app automatically rolls up the default Subscription Manager values from the MRR Schedules into these summaries. Additional rollups can be defined as needed using the “Custom MRR Summary Rollup” Custom Metadata Type, allowing further customization of how MRR is reported.
Important Consideration:
When Custom MRR Summaries are enabled in an org, or when the aggregating field is changed, the update only applies to new and future data. The app does not support automatically backfilling or backdating existing Custom MRR Summary records.
As a result, we recommend enabling Custom MRR Summaries as part of the initial onboarding process for the Subscription Manager to ensure reporting consistency from the start.
Troubleshooting
Recommendation:
Create a formula field on the Subscription object to surface the required value from related objects onto the Subscription record. This field can then be selected in the Custom Metadata Type to drive Custom MRR Summaries.
Formula fields can also be used to apply custom logic when determining how MRR is grouped and aggregated, providing additional flexibility in how summaries are constructed.
Recommendation:
If Custom MRR Summaries are not needed, you can deactivate the functionality by unchecking the “Use Custom MRR Summaries” checkbox, in the Custom Metadata Type.
Note that doing so will stop Custom MRR Summary records from being created. If you choose to re-enable the feature later, the app does not support backfilling historical Custom MRR Summary data.
Recommendation:
If you need to summarise MRR Schedule data across multiple levels, consider using Salesforce Reports with Summary Formulas, or leveraging third-party reporting tools to achieve more advanced multi-level analysis.
