Managing Large Numbers of Product Schedules

Salesforce’s out-of-the-box menu for Adding/Editing Selected Products on an opportunity is an easy interface for managing the schedules of a handful of Opportunity Products, but as more Products are defined, you may quickly notice some of its shortcomings.

While manually updating the quantity, pricing, and schedule information for one or two rows may be manageable, the absence of any built-in bulk-edit functionality makes the activity non-value-added.

What’s more, for the complex Opportunities, there are restrictive limits on how many Products you can add at once.

For convenient editing of large volumes of Opportunity Products, use the GSP Schedule Manager.

From the Opportunity record page, click the Manage Schedules quick action button.

If the button does not exist, ensure the page has been set up correctly or contact your administrator.

The GSP Schedule Manager will appear on the page. It has two screens: Edit Schedules and Mass Edit Schedules. To edit the Opportunity Products, go to the Edit Schedules screen.

This screen displays all the Products selected for the Opportunity and allows you to edit them on a one-to-one basis to Salesforce’s out-of-the-box editor. Any changes you make on this screen will be applied when you click Save.

To make bulk-editing easier, use the checkbox column or Select All to choose multiple Products.

Once you have selected multiple products, the mass editor panel appears. When you click Mass Edit, any values set in the mass editor are applied to all selected Products. Click Save to make the changes permanent.

 

Large Data Considerations

You may run into platform errors enforced by Salesforce when handling large volumes of product schedules. If you encounter “limits” errors while managing high numbers of Products or long scheduling durations, there are a few solutions you can try:

  • Reduce # Schedules. E.g., by using quarterly schedules instead of monthly.
  • Update the Products in smaller chunks rather than all at once.
  • Enable schedule batching
