Converting Standard Schedules into GSP Product Schedules

Before purchasing the GSP Product Schedules app, you may have used the standard Salesforce schedules feature.

You likely want to convert the standard schedules into GSP Product Schedules. Fortunately, this is straightforward, and you have the following choices.

• Convert the schedules one opportunity at a time.
• Convert using the bulk convert process. Optionally, you can do this one opportunity owner at a time.

You can start by converting schedules on individual opportunities and move to the bulk conversion process when you are confident in the results.

Pro tip 1: When converting schedules on individual opportunities or in bulk, Opportunity or Opportunity Product records that conflict with validation rules or have missing data in mandatory fields will fail the process. Therefore, we recommend temporarily switching off validation rules, which will likely cause problems; you may also want to consider temporarily making any mandatory fields optional.

Pro tip 2: Automation using Process Builders or very large Flows consumes significant API resources. Temporarily switch these off during the bulk conversion process to ensure the underlying database does not time out.

Error trapping: Fortunately, there is an error trapping process, which means you can view any records that fail the bulk conversion process. Each error creates a record of the Conversion Error object, which can be viewed in List Views and the Conversion Error dashboard.

Converting schedules on individual opportunities

To convert standard schedules to GSP Product Schedules on individual opportunities:

1. Navigate to Setup, Object Manager, and Opportunity.
2. Click Page Layouts and select a specific page layout.
3. Click Mobile & Lightning Actions.
4. Drag the Convert Schedules button onto the page layout and Save.
5. Go to an Opportunity and click the Convert Schedules button.

Bulk converting schedules on multiple opportunities

To bulk convert standard schedules to GSP Product Schedules:

1. Navigate to the Getting Started – Revenue Schedules tab (you may have to add this tab to your tab layout).
2. Scroll to the bottom of the page to the Salesforce Schedules section.
3. Select Revenue or Quantity as appropriate.
4. Optionally, choose to convert the schedules of an individual Opportunity Owner.
5. Check the disclaimer.
6. Click Convert Schedules.
7. Optionally, click the Apex Jobs link to monitor the progress of the conversion routine.
